Team access

Invite organisation admins and UX engineers, understand their access, and manage pending invitations.

01 / Roles

Choose the smallest role that fits the work

The account owner has full access to owned organisations and is the only person billed. Organisation invitations add access to one organisation; they do not create another subscription.

  • Admin: can update and delete the organisation, manage its team, and work across the organisation setup, data sources, projects, evidence, and reports.
  • UX engineer: can update organisation content and work across data sources, setup, projects, evidence, and reports, but cannot manage the organisation team or delete the organisation.

Both roles inherit the account owner’s subscription access for that organisation. Neither role can manage the owner’s Stripe subscription or purchase analysis units on the owner’s behalf.

02 / Invite

Invite a person to one organisation

  1. Open the organisation in the sidebar.
  2. Select Team. This section is available to the owner and organisation admins.
  3. Select Invite user.
  4. Enter the person’s exact email address and choose Admin or UX engineer.
  5. Select Send invitation.

The invitation appears under Pending invitations and expires after 14 days. UX Robot prevents duplicate pending invitations, invitations to the owner, and invitations for people who already have access.

03 / Accept

Create or use the invited account

The invited person opens the signed link in the invitation email. The email address is fixed to the invitation.

  1. If the email does not yet have a UX Robot account, enter a name and password, accept the Terms of Service, and create the account.
  2. If the email already belongs to an account, sign in when prompted to accept access.
  3. Verify the email address if UX Robot requests verification.
  4. Open the organisation from the application sidebar.

If the link is expired, the organisation owner or admin should revoke the old pending invitation and send a new one.

04 / Manage

Review and remove access deliberately

The Team page separates current access from pending invitations.

  • Select Revoke to invalidate a pending invitation that should no longer be used.
  • Select Remove beside an active member to end access to that organisation.
  • Update access promptly when responsibilities, employment, or supplier relationships change.
  • Review stakeholder report recipients separately; removing workspace membership does not by itself update stakeholder records or previously sent report links.

The owner record cannot be removed from Team. Account ownership and billing responsibility are not transferable through an organisation invitation.
