Billing and analysis units
Understand owner billing, the eight-week trial, subscriptions, analysis-unit balances, pack purchases, and billing recovery.
01 / Ownership
Only the account owner manages billing
The person approved through Request access and registered as the account owner is billed. Organisation admins and UX engineers inherit access to an organisation while the owner’s account is active, but they cannot start, cancel, or repair the owner’s subscription and cannot buy units for the owner.
Open the user menu and select Billing to see subscription status. A team member sees the billing owner’s contact information instead of payment actions.
02 / Subscription
Understand the trial and monthly subscription
An approved new owner receives an eight-week Stripe trial with two analysis units. Stripe collects a payment method during checkout, and monthly billing in USD begins when the trial ends unless the owner cancels first.
- The trial is available once for the approved signup invitation.
- The trial subscription must remain active for normal application access.
- Trial users may buy unit packs before the trial ends.
- The current subscription price, pack prices, and included features are shown on the Pricing page and in Stripe Checkout.
- All charges are in USD and are subject to the no-refund terms accepted at signup.
03 / Units
Know when an analysis unit is reserved and consumed
One analysis unit represents one report-generation run, not one organisation, project, upload, or OpenAI request.
- Trial units: two units granted to the approved trial account and available during their grant period.
- Monthly included units: 20 units granted for the billing period. Unused included units do not roll into the next month.
- Purchased units: added through unit packs, roll across monthly billing periods, and remain valid for 12 months.
When a run starts, UX Robot reserves one available unit to prevent two simultaneous runs from spending the same balance. The reservation becomes a consumed unit only after a valid report is stored. Provider, network, timeout, validation, or storage failure releases the reservation.
Billing displays the total available balance, the trial, included, and purchased portions, and the expiry date of each grant. UX Robot allocates from eligible grants according to the unit ledger; you do not select a grant manually.
To buy more units, open Billing, choose a pack under Buy additional units, and complete Stripe Checkout. Purchased units appear after Stripe confirms the payment webhook.
04 / Portal and recovery
Use Stripe for payment methods, invoices, and cancellation
On Billing, select Open billing portal to manage the payment method, invoices, subscription cancellation, and an eligible subscription resumption through Stripe.
- Scheduled cancellation: access continues through the already-paid period and the Billing page shows the end date.
- Past due, incomplete, or unpaid: select Resolve billing issue and correct the payment in Stripe.
- Lapsed subscription: normal application pages are blocked. The owner can still reach Billing to restore access.
- Webhook delay: after checkout, wait briefly and refresh Billing. Local development also requires the Stripe CLI to forward events to the application webhook endpoint.
Deleting the owner account cancels the subscription and permanently removes access to the account, organisations, and remaining analysis units. Payments and unused units are not refunded.
